How to use

Just follow the steps — each one is short. Ask your admin if anything is unclear.

1Create a form

  1. Log in and click + New formGive it a name, e.g. “Customer support role — apply now”.
  2. Add what you want to ask under Form fieldsName, phone number and so on. Tick the ones that are required.
  3. Fill in the opening message for WhatsAppIt is typed out for them when they land in WhatsApp — they only press send.

2Add WhatsApp numbers (rotation)

  1. Add your numbers one by one under WhatsApp numbers (rotation) — a dozen or more is fineThe system rotates them: person 1 goes to A, person 2 to B, person 3 to C… so the messages never pile onto one number.
  2. Set a Daily cap on each numberOnce a number hits its cap it is skipped until the next day, which resets automatically.
  3. Untick On for any number you are not usingIt is skipped instantly — no need to delete it. If a number gets banned, untick it.

Number format: 60123456789 — no +, no spaces, no -.

Repeat submissions from the same person are blocked automatically, so your numbers are not wasted.

3Publish + get the link

  1. Click Save & go live ↑If it says your account is not activated yet, that just means payment/activation is pending — contact your admin.
  2. Copy the linkUse it in ads, in your bio, or on your website.

4See your leads

  1. Open LeadsNew submissions appear on their own — no need to refresh.
  2. Each number shows how many it receivedThe bar chart tells you at a glance which number is busiest.
  3. Click Download ExcelOpens cleanly in Excel.
  4. Set a status, an owner and notesSo the team can see who followed up and how far it got.

All times are Malaysia time (UTC+8).

For ad tracking, just paste your GA4 / Meta Pixel ID in the editor — it is injected into the form page for you.

To let your team see the leads, add staff accounts under Settings.

5Send them to Google Sheets (in every paid plan)

  1. Open the Google Sheet you want the entries to land in (new or existing).
  2. In the sheet menu: Extensions → Apps Script. A code window opens.
  3. Come back here, open your form, scroll to “Google Sheet sync” and press Copy this code.
  4. Paste it into Apps Script (delete whatever was there) and save.
  5. Top right: Deploy → New deployment → Web app → Who has access: Anyone → Deploy.Allow it when Google asks. On the “not verified” screen press Advanced → Go to your project — it is your own script.
  6. Copy the web app URL it gives you (it ends with /exec), paste it back here and press Connect.Rows land in a tab named Leads (the tabs at the bottom of the sheet), not Sheet1. Click that tab if the sheet looks empty.
  7. Done. Every new entry now adds a row by itself. Press Share on the sheet to let your team watch it.Already have entries? Press “Copy every existing entry across” once.

Your list here keeps working either way — same table, same Excel download.

If Google has a problem it never affects your form; entries still come in and numbers still rotate.

?FAQ

Where does someone go after submitting?

Straight to one of your WhatsApp numbers, with the message pre-filled — they only press send.

If WhatsApp bans a number, does the system skip it automatically?

No — it cannot know. WhatsApp does not notify outside systems; nobody can do this without Meta’s official API. What you do instead: pause that number in the dashboard and the next person is routed elsewhere immediately, and set a daily cap per number so the load is spread and numbers are less likely to get banned.

Are leads real-time?

Within a few seconds — not the instant Google Docs kind.

Two people editing the same form?

The one who saves last wins.

Can I collect passwords or bank details?

No. The system blocks that automatically.
